Audio Conferencing Outsourcing

Our outsourcing services for audio conferencing provide consistent operation and management of your audio networks within your unique environment.

Audio conferencing outsourcing can generally be accomplished two ways.

  1. Work with an outside service provider to host teleconference calls on an external network.
  2. Work with a vendor as an inside service provider on your own network and with your own equipment.

There are advantages and disadvantages to both methods of outsourcing. Below is a brief overview of the differences between the two:

Outside Service ProvidersAudio Conferencing Outsourcing

  • Advantages:
Outside service providers can enable an organization to begin teleconferencing on a small or large scale very quickly and with little capital outlay. The service provider will provide all network connections, account ID's, passwords, billing and helpdesk support. New technology and upgrades to systems are the responsibility of the service provider.
  • Disadvantages:
Low certainty of confidentiality on the teleconferences. The network, equipment and helpdesk staff are all owned by the outside company and therefore, there is little assurance that any teleconference is secure. Price changes in network services, features and capacities are influenced by the outside vendor.

Inside Service Providers

  • Advantages:
High level of service and confidentiality for teleconferences because the vendor provides services from the organization's own network and equipment. No outside systems are used. Quality measures can be easily monitored and reported. Technology and upgrades to systems are the responsibility of the vendor acting within the organization as a service provider. Costs are known and generally constant with few surprises.
  • Disadvantages:
Up to eight weeks may be required to enable teleconferencing capability within an organization; this is including time required for designing the network and installing teleconferencing equipment. Initial cost of equipment is higher than if an outside service organization were used.

In general, most organizations outsource their audio conferencing either by paying a fee each time they use an outside vendor's teleconference network or by purchasing equipment themselves and contracting with an organization to manage the systems, passwords, user ID's and helpdesk. TKO offers both pay-as-you-go and inside vendor teleconferencing outsourcing.
